We are currently seeking a detail-oriented and proactive individual to join our team as an Order Processing and Accounts Specialist.

Job Summary:

The Order Processing and Accounts Specialist will play a critical role in ensuring smooth operations within our sales, logistics, and accounting functions. This position involves processing orders, managing accounts payable and receivable, handling online/e-commerce orders, and performing various administrative tasks. The ideal candidate will have excellent communication skills, strong organizational abilities, and a keen eye for detail.

Key Responsibilities:

Process Orders:

  • Communicate with the sales team to accurately process customer orders.
  • Schedule logistics to ensure timely delivery of orders to customers.
  • Maintain accurate records of all orders and deliveries.
  • Accounts Payable and Receivable:
  • Send invoices to customers and follow up on due payments.
  • Collect payments on outstanding invoices and manage account discrepancies.
  • Review and process invoice deductions.
  • Pay vendor bills and manage vendor relationships.
  • Maintain accurate financial records and ensure compliance with accounting standards.
  • Manage Online/E-Commerce Orders:
  • Fulfill online orders from platforms such as Amazon.com, Walmart.com, TikTok Shop, etc.
  • Ensure accurate and timely processing of e-commerce orders.
  • Coordinate with logistics partners to manage the shipping and delivery of online orders.
  • Handle customer inquiries and resolve any issues related to online orders.
  • Administrative Tasks:
  • Perform general administrative duties such as answering phone calls, responding to emails, and managing office supplies.
  • Assist in organizing and scheduling meetings.
  • Maintain filing systems and ensure all documents are properly organized and accessible.
  • Support other departments as needed with various administrative tasks.


Qualifications:

  • Bachelor’s degree in Business Administration, Accounting, or a related field preferred.
  • Proven experience in order processing, accounts payable, and accounts receivable.
  • Familiarity with online/e-commerce order fulfillment.
  • Strong proficiency in Microsoft Office Suite and accounting software.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Attention to detail and a high level of accuracy.
  • Ability to work independently and as part of a team.
